Look, We Get It - Privacy Matters

Running a shop that works on high-end European machines means we deal with some pretty specific info about you and your vehicle. We're not here to sell your data or spam you with junk - we've got engines to rebuild and ECUs to tune. This policy spells out what we collect, why we need it, and how we keep it safe.

We're based in Vancouver, BC, so we follow Canadian privacy laws (PIPEDA), but we also respect GDPR for our European clients who trust us with their vehicles.

What Info We Actually Collect

We're not gonna beat around the bush - here's what we keep on file:

Personal Contact Stuff
  • Your name, phone number, and email
  • Mailing address (sometimes we need to ship parts)
  • Payment details when you settle up your invoice
Vehicle Information
  • VIN numbers, make, model, year - the basics
  • Service history we've performed
  • Diagnostic codes and ECU data (yeah, we store those fault codes)
  • Performance modifications and tune specs
  • Parts we've installed and warranty info
Website Usage Data
  • IP address and browser type
  • Pages you visit on our site
  • Cookies for booking appointments and site functionality

How We Actually Use Your Data

Pretty straightforward stuff - we use your info to run the shop and take care of your vehicle:

  • Schedule your appointments and send reminders (nobody wants to miss their service date)
  • Order the right parts for YOUR specific vehicle
  • Keep track of what work we've done so we don't duplicate services
  • Send invoices and process payments
  • Reach out about warranty work or recalls (if something comes up)
  • Improve our diagnostic procedures based on historical data
  • Occasionally send maintenance reminders - but we're not gonna blow up your inbox

Who We Share Data With (Spoiler: Almost Nobody)

We don't sell your info to anyone - that's not how we roll. But there's a few situations where we gotta share some details:

When we order parts for your BMW or Porsche, we share your VIN and vehicle specs with suppliers. They need it to send us the correct components. That's it.

We use secure payment processors for credit card transactions. They get the minimum info needed to complete the payment - standard industry practice.

If the law requires it (court orders, government requests, etc.), we'll comply. Hopefully that never happens, but we're covering our bases here.

How We Keep Your Data Secure

We take security seriously - just like we take torque specs seriously. Here's what we do:

Encrypted Storage

All digital records are encrypted and stored on secure servers with regular backups.

Limited Access

Only authorized staff can access customer records - not the whole shop floor.

Physical Security

Paper records are locked up tight in secure filing cabinets in our office.

Regular Updates

We keep our systems updated and run security audits regularly.

Your Rights (Yeah, You've Got 'Em)

It's your data, and you've got rights. Here's what you can do:

Access Your Info

Wanna see what we've got on file? Just ask. We'll send you a copy of your records within a reasonable timeframe.

Correct Mistakes

If something's wrong in your records, let us know and we'll fix it. Accuracy matters when we're ordering parts.

Delete Your Data

Moving to another shop? We can delete your info (though we might need to keep some stuff for tax and legal purposes for a bit).

Opt Out of Marketing

Don't wanna hear from us unless it's about your service? No problem - just tell us and we'll stop the reminders.

Data Portability

Need your service history for insurance or another shop? We'll export it in a usable format for you.

PIPEDA Compliance (Canadian Law Stuff)

We Follow Canadian Privacy Laws

As a BC-based business, we comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). That's a mouthful, but basically it means we handle your personal info responsibly.

Our PIPEDA Commitments
  • Accountability: We're responsible for all personal info in our possession, even if we use third-party processors.
  • Identifying Purposes: We tell you why we're collecting your info before or when we collect it.
  • Consent: We get your okay before collecting, using, or sharing your personal info (except where the law says we don't need to).
  • Limiting Collection: We only collect what we actually need to provide service to your vehicle.
  • Limiting Use & Disclosure: We don't use your info for purposes you haven't agreed to.
  • Accuracy: We keep your records as accurate and current as needed for the purposes we're using them.
  • Safeguards: We protect your personal info with security appropriate to its sensitivity.
  • Openness: This policy explains how we manage personal info - no secrets here.
  • Individual Access: You can access your personal info and challenge its accuracy if needed.
  • Challenging Compliance: Got concerns? You can contact us or file a complaint with the Privacy Commissioner of Canada.

GDPR Info (For Our European Clients)

We work on a lot of European vehicles, and sometimes we deal with folks who are actually IN Europe or have ties there. If that's you, here's what you need to know:

Your GDPR Rights
Legal Basis for Processing

We process your data based on: (1) Contract performance - we need your info to service your vehicle; (2) Legitimate interests - maintaining service records and business operations; (3) Your consent - for marketing communications.

Data Retention

We keep service records for 7 years (tax and warranty purposes), then securely delete them unless there's a legal reason to keep 'em longer.

International Transfers

Your data stays in Canada, which has been recognized by the EU as providing adequate data protection. We don't transfer personal data outside Canada except when ordering parts from European suppliers.

Right to Lodge a Complaint

If you're in the EU and have concerns, you can contact your local data protection authority or reach out to us directly at the contact info below.

Automated Decision-Making

We don't use automated decision-making or profiling. Real humans review your vehicle's needs and service requirements.

Cookies & Website Tracking

Our website uses a few cookies - mainly to make the booking system work and remember your preferences. We're not tracking you across the internet or anything creepy like that.

  • Essential Cookies: Make the site function properly (can't turn these off)
  • Booking Cookies: Remember your appointment details as you navigate the booking system
  • Analytics: Basic traffic stats to see which pages people actually look at

You can disable cookies in your browser settings, but the booking system might not work right if you do.

How Long We Keep Your Data

We don't keep your info forever. Here's the breakdown:

Data Type Retention Period Reason
Service Records 7 years Tax law requirements & warranty tracking
Payment Info 7 years Financial record keeping & tax compliance
Vehicle Diagnostics 5 years
